Volunteer FAQ

Roles and Responsibilities

  1. Check in to the volunteer desk 15 minutes before your shift begins

  2. At the volunteer desk you will get your assigned task: helping with UEM, Coco, Arts and Crafts, or closet run

    • UEM- 

      1. Make sure the AV is working well by asking the admins there

      2. Make sure all of the amps and cables are as detailed in the map

      3. Check that the water is on the way

      4. Make sure the tables and chairs are in the right position

    • Coco

      1. Help move the games and food into the proper spots

    • Arts and Crafts

      1. Help with setup--DO NOT TOUCH THE BEER

    • Closet Run

      1. Help carry items from the closet to the event space

Check in to the volunteer desk 15 minutes before your shift begins

If your name is in RED you are at a check in table. BLUE you will be in the event space.

RED

  1. Download the Eventbrite and Eventbrite Organizer Apps

  2. When someone comes to the table:

    •  Check their student ID- make sure it matches the school you are representing the table for

    • Have them scan their ticket

    • Hand them a mug

    • Let them know last call is 6:30PM

    • Let them know that no alcohol is allowed in the water only zone

    • Lead them to the proctor line to get their government ID checked

Check In Lead: You are responsible for making sure each table has 1 or 2 volunteers at it and that the lines are running well. You will need to teach the incoming Check in volunteers when the shift is almost over how to check people in. You are responsible for filling in as check in for any empty table.

BLUE

If you are blue, and there is a large line at check-in you will be re-assigned to check-in

FLOAT LEAD-

  1. Your job is to go between the check in table and the event space and make sure that if the check in people want food, you get it for them

  2. If the check in table wants a break, you fill in for them

  3. Go around the lines and make suggestions to use the smaller lines in the no alcohol area

 

BEER LEAD-

  1. Make sure all beer stations have ice

  2. Check if there is anything they may need

  3. If the check in table wants a break, you fill in for them

  4. Go around the lines and make suggestions to use the smaller lines in the no alcohol area

FOOD LEAD-

  1. Make sure all the food stations are up and running and do not have issues

  2. Check if there is anything they may need

  3. If the check in table wants a break, you fill in for them

  4. Go around the lines and make suggestions to use the smaller lines in the no alcohol area

  2. Help clean up the event space:

    • Help Coco move the items back to their truck

    • Help Arts and Crafts pack up their items

    • Help move games back to the closet
